Terms of Service

1. Acceptance of Terms

By accessing or using Lumen Suite ("the Service"), you agree to be bound by these Terms of Service. If you are accepting these Terms on behalf of a church or organization, you represent that you have the authority to bind that entity to these Terms. If you do not agree, do not use the Service.

2. Description of Service

Lumen Suite is a cloud-based church management platform that provides tools for:

• Member Management: Member profiles, family grouping, status tracking, search, import/export, and pastoral notes
• Financial Management: Offering recording, expense tracking with approval workflows, budget planning, and financial reporting
• Event Management: Calendar views, event scheduling with drag-and-drop, recurring events, and attendance tracking
• Ministry & Volunteer Coordination: Ministry creation, volunteer scheduling with conflict detection, and engagement metrics
• Bulletins: Trifold/bifold templates, worship order management, announcements, and QR code generation
• Study Groups: Small group management with session tracking, attendance, and leader assignment
• Prayer Requests: Prayer submission with categories, status lifecycle, and printable prayer lists
• Visitation Planning: Visit plan creation with map preview, route reordering, and route optimization
• Registration Forms: Drag-and-drop form builder with custom fields and public URL generation
• Asset Management: Church property tracking with barcode generation and maintenance scheduling
• Bible Reader: Built-in Bible with persistent personal study notes

3. Accounts & Multi-Tenancy

Each church using Lumen Suite operates as an independent tenant. You are responsible for maintaining the confidentiality of your account credentials, managing user accounts within your organization, and ensuring only authorized personnel have access to your church's data.

4. Subscription Tiers & Billing

4.1 Plans

Lumen Suite offers four subscription tiers:

• Free ($0/month): Up to 50 members, 3 ministries. Core features only.
• Basic ($19.99/month): Up to 500 members, 10 ministries. Adds Google Maps, financial modules, bulletins, assets.
• Pro ($49.99/month): Up to 1,000 members, unlimited ministries. Adds budgets, visitation, financial reports, RBAC, audit log.
• Enterprise ($200/month): Unlimited members. Adds batch tax forms, analytics PDFs, multi-campus support, and priority support.

4.2 Free Trial

All new accounts receive a 14-day free trial with Pro-level access. After the trial period, accounts are downgraded to the selected subscription tier.

4.3 Billing

Paid subscriptions are billed monthly through Stripe. You authorize us to charge your payment method on a recurring basis. You may cancel at any time; cancellation takes effect at the end of the current billing cycle.

5. Roles & Access Control

Lumen Suite provides 11 granular roles for access control within each church tenant: System Admin, Church Admin, Expense Admin, Member Admin, Ministry Admin, Events Admin, Asset Admin, Forms Admin, Bulletin Admin, Small Group Admin, and Prayer Admin.

You are responsible for assigning appropriate roles following the principle of least privilege. We recommend that no more than 1–2 people hold the Church Admin role.

6. Acceptable Use

You agree not to:

• Use the Service for any purpose other than legitimate church or religious organization administration
• Upload or store content that is unlawful, harmful, threatening, or otherwise objectionable
• Attempt to access data belonging to other tenants (churches)
• Share login credentials or create shared accounts
• Reverse engineer, decompile, or disassemble any part of the Service
• Use the Service to send unsolicited communications (spam)

7. Data Ownership & Portability

Your church retains full ownership of all data entered into Lumen Suite. We do not claim any intellectual property rights over your content. You may export your data at any time using the CSV and Excel export features. Upon account termination, we will make your data available for export for 30 days before permanent deletion.

8. Intellectual Property

The Service, including its design, code, features, documentation, and brand assets, is the intellectual property of Lumen Suite. Your subscription grants you a limited, non-exclusive, non-transferable license to use the Service for your internal church administration purposes.

9. Service Availability

We strive to maintain 99.9% uptime for the Service. However, we do not guarantee uninterrupted access. We are not liable for any downtime caused by factors beyond our reasonable control.

10. Limitation of Liability

To the maximum extent permitted by law, Lumen Suite shall not be liable for any indirect, incidental, special, or consequential damages. Our total liability for any claim shall not exceed the amount you paid to us in the twelve (12) months preceding the claim.

11. Indemnification

You agree to indemnify and hold harmless Lumen Suite and its officers, directors, employees, and agents from any claims, losses, or damages arising from your use of the Service or your violation of these Terms.

12. Termination

Either party may terminate this agreement at any time. We may suspend or terminate your access if you violate these Terms. Upon termination:

• Your access to the Service will cease immediately
• Your data will remain accessible for export for 30 days
• After 30 days, all data will be permanently and irreversibly deleted
• No refunds will be issued for partial billing periods

13. Modifications to Terms

We reserve the right to modify these Terms at any time. We will provide 30 days' notice of material changes via email to active subscribers. Continued use of the Service after the effective date of any changes constitutes acceptance of the modified Terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the United States. Any disputes arising from these Terms shall be resolved through binding arbitration, unless otherwise required by applicable law.
